When you register for Annual Alumni Week (AAW), you will be asked to acknowledge that you agree to all of the policies below.

Cancellation & Refund Policies

Registration Fee

• 100% refund less €25 cancellation fee if canceled by April 8.
• 50% refund less €25 cancellation fee if canceled by June 13.
• No refund after June 13.

Day Trips (Cliffs of Moher, Woollen Mill, Killarney, etc.)

• 100% refund less €10 cancellation fee if canceled by April 8.
• 50% refund less €10 cancellation fee if canceled by May 8.
• No refund after May 8.
• Each day trip remains open for booking until sold out OR until May 8, whichever is earlier. After May 8, should space become available, we will announce that immediately. Reserve by May 8 to ensure your place!
• All trips have a minimum number of 30 to proceed, unless otherwise specified.

T-shirts & Hoodies

• Last date to order T-shirts and hoodies is May 31.
• 100% refund if canceled by April 8. No refund after April 8.

UWPIAA Bus From/To Dublin Airport

• 100% refund less €5 cancellation fee if canceled by April 8.
• 50% refund less €5 cancellation fee if canceled by June 13.
• No refund after June 13.

Medical Refund Policy

We urge all attendees to purchase comprehensive travel insurance to ensure coverage of your costs in the case of your own or a family member’s medical issue that prevents your attendance. We will consider a request for a refund of your REGISTRATION FEE ONLY, less the 25€ cancellation fee, at any time up to the beginning of AAW to any REGISTRANT who is unable to travel due to THEIR OWN medical issue. Please email registration-team@uwpiaa.org with your request. Confirmation of your inability to travel may be required.

On-Campus Apartments Cancellations & Refunds

• A non-refundable 50% deposit is required to secure your accommodation, at the initial booking stage. 
• The remaining 50% must be paid in full by May 17, 2026, to confirm your reservation.
• To complete your reservation, you will need to supply the names of all the guests who will be staying in your apartment. 
• The 50% booking deposit is non-refundable once paid.
• Bookings paid in full can be cancelled by May 17, 2026, and a 50% refund will be given. Any cancellations after May 17, 2026, are non-refundable.

Ticket Transfer Policies

If you cannot attend AAW and miss the April 8 deadline for a 100% refund of your registration fee or day trip cost, you have the option to sell your registration or day trip to another alum, but you MUST follow these steps:

Registration Fee Transfer

• Transfers must be FINALIZED by Sunday, July 5. Transfers are not finalized until a new confirmation is issued to the buyer. That means that the seller’s email to registration-team@uwpiaa.org must be received no later than Friday, July 3 (since July 4 is a holiday in the U.S.).
• The AAW team will not assist in connecting buyers and sellers, but will provide information on where buyers and sellers can connect with each other.
• When the transaction is completed to the seller’s satisfaction, the seller must email registration-team@uwpiaa.org, cc-ing the buyer, and provide the buyer’s name and exactly what is being transferred.

Day Trip Transfer

• Day Trips may be transferred up until 18:00 Ireland time the DAY BEFORE the tour takes place.
• Sellers must email aawtours@uwpiaa.org no later than 18:00 Ireland time, cc-ing the buyer, and provide the buyer’s name.
• The AAW team will not assist in connecting buyers and sellers, but will provide information on where buyers and sellers can connect with each other.

Deadlines

NOTE: These deadlines will NOT be extended.

March 6	Last day to make On-Campus Apartment Bookings and Deposits A non-refundable 50% deposit is required. The balance must be paid in full by May 17, 2026. To complete your reservation, you will need to supply the names of all the guests who will be staying in your apartment.
April 8	Last day to cancel your AAW registration for 100% refund, less €25 processing fee. Last day to cancel a Day Trip for 100% refund, less €10 processing fee. Last day to cancel a T-shirt or hoodie purchase for 100% refund. No T-shirt or hoodie refunds after April 8.
Date to be announced	Annual Awards nominations close.
April 25	Last day to book Castletroy Park Hotel.
May 8	Last day to sign up for a Day Trip to ensure you get a seat. Last day to cancel a Day Trip for 50% refund, less €10 processing fee. No Day Trip refunds after today, but you may sell and transfer your Day Trip up until the day before your tour (see the Day Trip Transfer policy above).
May 17	Last day to confirm your On-Campus Apartment booking by paying the remaining 50%  balance due. To complete your reservation, you will need to supply the names of all the guests who will be staying in your apartment.
May 18	Last day to book Strand Hotel.
May 31	Last day to order T-shirts / hoodies.
May 31	Last day to order memorial trees.
June 13	Final day to register; there will be no on-site registrations. Last day to cancel your AAW registration for 50% refund, less €25 processing fee. No refunds after today’s deadline, but you may sell and transfer your registration up until July 5 (see the Registration Fee Transfer policy above).
