I – INTRODUCTION
When you provide personal information to the UWPIAA, you trust us with your data, and we’re committed to keeping that trust by clarifying our privacy practices. This notice describes the personal data (“data”) we collect, how it’s used and shared, and your choices regarding this data. We recommend that you read this policy which highlights information about our privacy practices and provides summaries of the data we collect and how we use it.
II – OVERVIEW
A. Scope
This notice applies to users of the UWPIAA’s apps, websites, and other services globally.
This notice describes how UWPIAA and its affiliates collect and use data. This notice applies to all UWPIAA users globally. This notice specifically applies to:
Alumni: all individuals who were accepted into the Up with People program and who completed staging/orientation, who have traveled as a cast member or served as staff member of Up with People, who were in any national traveling cast of Sing Out, who were in WorldSmart, or who were on the staff of PACE magazine.
All those subject to this notice are referred to as “users” in this notice.
Our privacy practices are subject to applicable laws in the places in which we operate. This means that we engage in the practices described in this notice in a particular country or region only if permitted under the laws of those places.
In addition, please note the following:
For users in Argentina: The Public Information Access agency, in its role of Regulating Body of Law 25.326, is responsible for receiving complaints and reports presented by any data subjects who believe their rights have been impacted by a violation of the local data protection regulation.
For users in Australia: You may contact UWPIAA here regarding our compliance with the Australian Privacy Principles. Such contacts will be addressed by UWPIAA’s Privacy Committee within a reasonable timeframe. You may also contact the Office of the Australian Information Commissioner here with concerns regarding such compliance.
For users in Brazil: Please see here for information regarding UWPIAA’s privacy practices as relates to Brazil’s General Data Protection Law (Lei Geral de Proteção de Dados – LGPD).
For users in the European Economic Area (“EEA”), United Kingdom (“UK”), and Switzerland: Due to data protection and other laws in these regions, including the European Union’s General Data Protection Regulation (“GDPR”), UWPIAA does not perform certain of the data collections and uses described in this notice in the EEA, UK or Switzerland.

For users in Nigeria: UWPIAA processes the data of users in Nigeria on the grounds that it is necessary to fulfill the terms of our agreements with those users, or based on their consent.

III. DATA COLLECTION AND USES
A. The data we collect
UWPIAA collects data:
provided by users to the UWPIAA
created during use of our services
from other sources with permission from the user (opt-in only)
Please see below for a summary of the data we collect and how we use it.
The UWPIAA collects the following data from these sources:
- Data provided by users. This includes:
Account information: We collect data when users create or update their UWPIAA accounts. This includes first and last name, cast, email, phone number, login name, address and other optional categories.
Partners and vendors of the UWPIAA are required to obtain only the information that is relevant to their operations and must not retain personal information once the operation is complete.
The UWPIAA may also collect demographic data, such as age group and household composition, through user surveys. - Data created during use of our services. This includes:
Usage data: We collect data about how users interact with our services. This includes event attendance (including demographics)
Communications data: We collect data regarding communications from users to the UWPIAA to ensure that issues, questions and concerns are addressed in a timely manner. Resultant details may be shared within the UWPIAA Board of Directors or committees to inform and improve alumni programs. - Data from other sources. These include:
Up with People: personal information shared with the UWPIAA is done so only via opt-in through the upwithpeople.org website. Their privacy policy is located here.
B. How we use data
UWPIAA uses data to enable accurate and relevant communication to the alumni community:
to enhance overall communication of the UWPIAA’s programs and services
for user support
for updates regarding the Annual Alumni Week
to send the issues of the UWPIAA UpBeat
UWPIAA uses the data we collect:
- To provide our services. UWPIAA uses data to provide, personalize, maintain, and improve our services.
This includes using data to:
create/update accounts.
perform necessary operations to maintain our services, including to troubleshoot software bugs and operational problems.
UWPIAA performs the above activities on the grounds that they are necessary to fulfill the terms of our agreements with users, are compatible with such uses, or are necessary for purposes of UWPIAA’s and its users’ legitimate interests. - Safety, fraud protection and security. We use data to help maintain the safety, security, and integrity of our services and users. This includes:
verifying user’s account, identity or compliance with privacy requirements.
The UWPIAA performs the above activities on the grounds that they are necessary to fulfill the terms of our agreements with users, and/or for purposes of the legitimate security interests including that of the privacy of personal information of UWPIAA, our users and members of the general public. - Customer support. We use the information we collect (which may include call recordings, chat logs, in-app audio recordings and email messages) to provide customer support, including to investigate and address user concerns and to monitor and improve our customer support responses and processes.
UWPIAA performs the above activities on the grounds that they are necessary to fulfill the terms of our agreements with users or for purposes of UWPIAA’s legitimate interests in monitoring and improving its customer support services. - Marketing and Advertising. The UWPIAA currently does not actively engage in marketing and advertising in the commercial sense and will update this policy should conditions change.
- Non-marketing communications. UWPIAA may use data to send surveys and other communications that are not for the purpose of marketing the services or products of UWPIAA or its partners.
The UWPIAA performs the above activities on the grounds that they are necessary to fulfill the terms of our agreements with users, or for purposes of UWPIAA’s and its users’ legitimate interests in informing users about events that may have an impact on their use of UWPIAA’s services. - Legal proceedings and requirements. We use data to investigate or address claims or disputes relating to use of UWPIAA’s services, to satisfy requirements under applicable laws, regulations, operating licenses or agreements, insurance policies, or pursuant to legal process or governmental request, including from law enforcement.
UWPIAA performs the above activities on the grounds that they are necessary for purposes of UWPIAA’s legitimate interests in investigating and responding to claims and disputes relating to use of UWPIAA’s services and features, and/or necessary for compliance with applicable legal requirements.
C. Data sharing and disclosure
Some of UWPIAA’s services and features require that we share data with other users, or at users’ request or with their consent. We may also share such data for legal reasons or in connection with claims or disputes
UWPIAA may share data:
- With other users
This includes sharing:
The full name, cast/crew and nationality of winners of awards from the UWPIAA at users’ request or with users’ consent.
The full name, cast and nationality of all members of the UWPIAA Board of Governors.
This includes sharing data with:
UWPIAA business partners. For example, if a user requests a service through a partnership or promotional offering made by a third party, UWPIAA may share certain data with those third parties. This may include, for example, other services, platforms, apps, or websites that are specifically contracted as vendors of the UWPIAA
Insurance companies. If a user has reported or submits a claim to an insurance company relating to UWPIAA’s services, UWPIAA will share certain data with that insurance company for the purpose of adjusting or handling the user’s insurance claim.
- With UWPIAA service providers and business partners
These include the third parties, or categories of third parties, listed below. Where a third party is identified, please see their linked privacy notices for information regarding their collection and use of personal data, payment processors and facilitators, insurance companies, in connection with insurance claims made or reported by a user relating to UWPIAA’s services, and for the purpose of adjusting or handling the insurance claim.
For legal reasons or in the event of a dispute UWPIAA may share users’ data if we believe it’s required by applicable law, regulation, operating license or agreement, legal process or governmental request, insurance policy, or where the disclosure is otherwise appropriate due to safety or similar concerns.
This includes sharing data with law enforcement officials, public health officials, other government authorities, insurance companies, or other third parties as necessary to enforce our Terms of Service, user agreements, or other policies; to protect UWPIAA’s rights or property or the rights, safety, or property of others; or in the event of a claim or dispute relating to the use of our services. - With consent
UWPIAA may share a user’s data other than as described in this notice if we notify the user and only they consent to the sharing. This consent does not obligate the UWPIAA to share such information in a specific timeframe.
D – Data retention and deletion
UWPIAA retains user data for as long as necessary for the purposes described above, which varies depending on data type, the category of user to whom the data relates, the purposes for which we collected the data, and whether the data must be retained after an account deletion request for the purposes described below.
For example, we retain data:
for the life of a user account if such data is necessary to provide our services. E.g., alumni database.
At any time, users may request deletion of their account through the Privacy menus at the UWPIAA’s website or by emailing here.
Following an account deletion request, we delete the user’s account and data, within 60 days of an account deletion request, except where retention is necessary for any legal reasons.

IV. CHOICE AND TRANSPARENCY
UWPIAA enables users to access and/or control data that UWPIAA collects, including through:

opt-in choices
UWPIAA also enables users to request access to or copies of their data, make changes or updates to their accounts, request deletion of their accounts, or request that UWPIAA restrict its processing of user data.
In accordance with GDPR, users have the following rights in reference to their personal information:

- Privacy settings
The UWPIAA website allows users to set or update their preferences, data sharing, and notifications. - Marketing and advertising choices
UWPIAA provides users with the following choices regarding how their data is used for purposes of communication:
Personalized marketing communications from UWPIAA: Users may choose whether UWPIAA may use their data to send personalized communications (such as, emails, push notifications, and other messages) about UWPIAA programs, updates and events. Users may also choose whether to receive any marketing emails or push notifications from UWPIAA.
Data Sharing and Tracking: Users may choose whether UWPIAA may share their data with the Up with People organization. Their privacy policy is located here. - User data requests
UWPIAA provides users with a variety of ways to learn about, control, and submit questions and comments about UWPIAA’s handling of their data. In addition to the methods indicated below, users may also submit data requests via our Privacy Inquiry Form by submitting a request here.
Data access and portability: Depending on where they are located, users may have the right to “access” their data (meaning, to be informed of the data that UWPIAA has collected about them), and to “portability” of their data (meaning, to receive a copy of such data). Regardless of their location, UWPIAA provides several options for viewing and obtaining copies of the data UWPIAA has collected about them.
Users can access data including their profile data via the UWPIAA website.
Changing or updating data: Users can edit their name, phone number, email address, etc through the UWPIAA website.
Deleting data: Users may request deletion of their account by emailing here.
Objections, restrictions, and complaints: Users may request that we stop using all or some of their data, or that we limit our use of their data. This includes objecting to our use of data that is based on UWPIAA’s legitimate interests. UWPIAA may continue to process data after such objection or request to the extent only as required or permitted by law.
In addition, depending on their location, users may have the right to file a complaint relating to UWPIAA’s handling of their data with the data protection authority in their country. For example, users in the EU and Latin America may submit such requests to the data protection authorities in the country in which they live.
